Deputy Manager, Café
Job Description:
As Café Deputy Manager you will assist the Café Manager in delivering the smooth running of the café, ensuring company standards in sales, staffing, customer service, product quality, visual merchandising, operational systems and paperwork are met. As one of the senior managers, you are expected to be flexible in your approach, to work as a team member and be professional at all times. You will perform the role of Café Manager in their absence.
Your responsibilities include but are not necessarily limited to:
• Assist Café Manager in managing the café and kitchen and perform the role of Café Manager in their absence.
• Manage, motivate and delegate tasks to staff, ensuring they carry out their roles and responsibilities. • Respond to customer needs and complaints, providing excellent customer service at all times.
• Model a positive leadership role, taking operational decisions for the business as required.
• Demonstrate and encourage effective communication among all staff to create good teamwork and customer service. • Ensure all team members are committed to and demonstrate Glendoick Values and Employee Code of Conduct.
• Ensure the Café is presented to best effect in terms of visual merchandising, freshness, quality and standards.
• Oversee the running, maintenance safety and cleanliness of all areas of the café and kitchen.
• Work with the Café Manager in creating sales volume growth while reviewing controllable expenses and monitoring staffing costs.
• Oversee the ordering and rotation on a daily, weekly and monthly basis of stock, adhering to targets, margins and budgets.
• Assist in HR duties including staffing levels, recruitment, induction, performance review, absence management & records etc.
• Compiling staff rota, taking into account fluctuations in business, staff availability and events.
• Assist the Café Manager in maintaining proper loss prevention standards, reviewing cash handling procedures, deposits and safe procedures.
• Inform the Café Manager of any operational inconsistencies, employee incidents, accidents, potential safety hazards, or any unusual or pertinent events.
• Perform opening and closing duties.
Training & Development
• In agreement with the Café Manager & Operations Director, to recruit, train, retain, develop and review all employees in your team.
• Ensure all staff are educated on our products and services as well as systems and procedures.
• Conduct and contribute to regular performance reviews and participate in disciplinary procedures if required.
Records and systems
• In collaboration with the Café Manager, generate, monitor and implement paperwork to cover all day to day operational and staffing areas of responsibility.
• Work with the Head Cook to ensure all cleaning rotas and records of refrigeration temperatures, wastage etc are completed and properly maintained and held on file for inspection.
• Oversee appropriate food safety and H&S systems and procedures in compliance with statutory legislation and to regularly carry out audits and risk assessments to ensure all staff observe the health and safety regulations.
• Develop and maintain tight stock control systems and carry out regular stock takes to ensure buying budgets are adhered to.
• With the Head Cook, check the systems and procedures for ordering and the delivery of fresh produce etc are being carried out.
Buildings and Maintenance
• Ensure all machinery, fixtures, fittings, and premises in the cafe are maintained in working order, to a high standard of cleanliness in accordance with health and safety regulation.
• Ensure the security of the premises, stock and cash at all times.
Person specification
• Demonstrable experience in a similar role.
• Management skills: to be able to motivate, lead and communicate with staff, colleagues and customers in a positive way.
• An ability to thrive in a fast paced, busy environment, identify priorities and problem solve.
• Sound knowledge and understanding of all Health & Safety areas and legislation in a food service environment.
• Sound IT skills - experienced in the use of word, Excel, EPOS system.
• Experience in organisational, management and planning skills and the ability to anticipate and resolve problems.
• Experience in HR skills and performance management. • Good understanding of business accounting/reporting/cash handling.
• Market awareness and understanding.
